PTO Meeting Minutes February 21, 2023

The meeting is welcome at 5:30 pm.

  1. Treasurer Report (Vinita)
    a. Balance: $28,754.26
    b. Last Amazon Smile Deposit $46.00
  2. Flooring Replacement for Lower Elementary Classrooms #1 and #2
    a. Waiting for final flooring selection. The flooring company is attempting to get a darker flooring color.
    b. Installation scheduling is predicated on when flooring selection is made.
  3. February Fundraiser
    a. Scheduled for Thursday evening at 6:00 p.m. at Jubilee Joe’s in Hoover.
    b. Buffet-style food. The menu will be sent via email.
    c. The event will be for adults only as alcoholic drinks will be available.
    d. Fundraising baskets will be auctioned during the event and assembled and themed by each classroom.
    e. Tickets are still available for purchase through Jubilee Joe’s website as well as at the door.
    f. Additionally, Patricia Irene’s is auctioning an $80.00 Gift Card and Hosts and Hounds a Strawberry Cake and a Gluten-free Italian Cream Cake.
    g. Melanie will send out an email as a reminder to purchase tickets as well as a description of the menu items that will be available.

PTO Meeting Minutes January 23, 2023

The meeting is welcome at 5:30 pm.

  1. Treasurer Report (Vinita)
    a. N/A
  2. Flooring Replacement for Lower Elementary Classrooms #1 and #2
    a. A motion to proceed with the Cruz family’s bid (Alabama Flooring) was made by Dana Maxfield with Michael Barrett seconding the motion. A unanimous vote for approval was made by those present.
    b. Sharmeen will email the PTO Board members not present for their vote.
    c. The estimated cost will be $18,000.
    d. Selection of the flooring material and exact installation dates will be determined later.
  3. February Fundraiser
    a. Currently scheduled for Thursday evening at 7:00 p.m. at Jubilee Joe’s in Hoover.
    b. Buffet-style food and live music will be offered.
    c. The event will be for adults only as alcoholic drinks will be available.
    d. Tickets will be priced at $75 per person, with two drink tickets.
    e. Fundraising baskets will be auctioned during the event and assembled and themed by each classroom. Christie will coordinate with room parents.
    f. Gisela suggested having a silent auction as well, but this will possibly take place at a later date.
    g. Tickets for the event will be available to purchase through Jubilee Joe’s website. Sharmeen will set it up.
  4. PTO Storage Shed
    a. Gisela mentioned that the PTO shed has a significant leak in the roof.
    b. Estimated cost is around $750 for materials with Dana providing labor.
    c. Motion to approve funds for the project made by Dana, seconded by Sharmeen. Vote of those present: approved.

PTO Meeting Minutes December 5th, 2023

The meeting is welcome at 5:30 pm.

  1. Treasurer Report (Vinita)
    a. Account Balance: Currently $29,928.04
  2. Staff Holiday Breakfast
    a. Scheduled for Wednesday, December 7.
    b. Vegan options will also be provided. (Vinita)
  3. Classroom Flooring Project
    a. Bids are still being discussed.
    b. Classrooms #1 and #2 will have the flooring replaced.
    c. Each room will take approximately one weekend to complete.
  4. February Fundraiser
    a. Dinner with music was the favorite event among survey respondents.
    b. Suggested date will be Thursday, February 23rd, and will be held at Jubilee Joe’s.
    c. Sharmeen brought up the issue of alcoholic drinks being served, especially if children are present. After discussion, it was decided to forgo alcoholic drinks.
  5. Classroom Gift Basket Contest
    a. Each classroom will offer a gift basket made up of various prizes.
    b. The classroom that raises the most money will win a pizza party.

PTO Meeting Minutes October 17th

Meeting Welcomed at 5:30 pm.

  1. Treasurer Report (Vinita)
    1. Account Balance: Currently around $16,000
    2. Income of PTO Dues: Approximately $11,000 for a total of $27,000.
  2. Fall Festival Recap (Gisela)
    1. Fall Festival was successful and is expected to make a profit.
    2. The dunking booth was particularly popular.
  3. Staff Holiday Breakfast
    1. A vote for December 7th at 7:00 a.m. was unanimous. 
    2. Information for catering will be followed up on by Sharmeen.
  4. Staff Gift Distribution 
    1. A monetary gift of $100 was voted by all present.
    2. It was suggested that school staff will receive the monetary gift, while gifts to teachers may need to have the option of providing a physical gift.
    3. Christie White asked that a JBMA/PTO account be created to receive parental contributions.
    4. Sharmeen to check on opening a school Venmo account.
  5. Monthly Breakfast Cart (Christie)
    1. Christie presented the Board with a suggestion to have a monthly breakfast cart that would go room-to-room and be supervised by a team made up of room parents.
    2. Christie gave an estimate of $250 for the cart including the cost of coffee/drinks, 3 dozen donuts, muffins, fruit parfait, and fruit.
    3. A determination on financing the cart will be evaluated once the flooring project costs are finalized.
  6. Art Show Proposal (Christie)
    1. Christie suggested the possibility of having an art show as a fundraising event.
    2. After discussion, it was decided that the art show idea would need to collaborate with Lisa. Funds raised would go to funding materials and supplies for the art classes.

  7. Posting Future Meeting Minutes on the PTO Blog
    1. Michael will contact Jessica Linville about posting the minutes on the PTO Blog.

2022 Fall Festival

Mark your calendar for October 16th, 2022 from 1:00 pm – 3:00 pm for our annual PTO Fall Festival! 

We need your help to make the Fall Festival successful. Please see the link below to sign up for the following (i.e. cookies/cupcakes for the cake walk, help with games, set up/clean up just to name a few).
